Personal data policy

Version of 22 October 2026.

This is a translation for convenience. The Russian version prevails.

1. Who processes the data

The personal data operator is sole proprietor Ilya Sergeyevich Golub (INN 245209698108, OGRNIP 319246800031728, Zheleznogorsk, Krasnoyarsk Krai, Russia), the Atlas Translate translation agency (the agency). This policy follows Russian Federal Law No. 152-FZ “On Personal Data” of 27 July 2006 and covers all data the agency receives from clients and visitors of atlas-translate.ru.

Contact on personal data matters: krk@atlas-translate.ru, office: Office 110, 8 Maerchaka St., bldg. 9, Krasnoyarsk.

2. The website does not collect data

The website has no forms, user accounts, visitor counters or advertising systems. It never asks for your name, phone number or e-mail and does not store them.

Your browser receives only technical cookies needed for the site to work: a session ID, the chosen language and a cookie-support flag. They are not used for analytics or advertising and are not shared. You can delete or block them in your browser and the site will still open.

Like any web server, the site's server logs the IP address, request time, page address and browser type. Logs are used to protect the site and fix errors, are kept for a limited time and are not used to identify visitors. Fonts and images are served from the site's own server.

The Contacts page embeds a 2GIS map: when it is shown, your browser connects to the servers of DoubleGIS LLC, which processes data under its own policy. Telegram links open the Telegram service.

3. What data the agency receives from clients

The agency receives data when you contact it yourself: by phone, e-mail, Telegram or at the office. It processes:

  • your name, phone number, e-mail address and Telegram username, to reply and fulfil the order;
  • the information in the documents to be translated, certified or legalised: full name, date and place of birth, passport and other document details, education, marital status and employment, to the extent it appears in the document;
  • details of a company and its representative, if the client is a company;
  • payment details needed for settlement and accounting.

If a document contains health information, the agency processes it only with your written consent (Art. 10 of 152-FZ) and will ask you to sign it when accepting the order. If you hand over another person's documents, you confirm that you are entitled to do so.

4. Purposes and legal grounds

  • to reply to your enquiry and quote the price and deadline: your consent and steps prior to a contract;
  • to fulfil the order (translation, notarisation, apostille, legalisation, nostrification, interpreting): performance of a contract with you (Art. 6(1)(5) of 152-FZ);
  • accounting and tax records: legal obligation (Art. 6(1)(2) of 152-FZ).

The agency does not use the data for marketing and makes no automated decisions with legal effect for you.

5. What the agency does with the data and who receives it

The agency collects, records, organises, stores, updates, uses, transfers, blocks, deletes and destroys data, manually and by computer. Only the staff and translators working on your order have access.

Data is passed on only to those needed to fulfil your order:

  • a notary, to certify the translator's signature;
  • government bodies and organisations, for apostille, requesting documents and nostrification;
  • the consulate of a foreign state, for consular legalisation; this is a cross-border transfer made only when you order legalisation;
  • a bank, to receive payment.

Telegram is a foreign service: messages and files you send via Telegram pass through its servers. If you prefer not to use Telegram, send documents by e-mail or bring them to the office.

6. How long data is kept

  • correspondence and contacts: until the order is fulfilled and paid, then no longer than 3 years, for repeat orders and quality claims;
  • copies of documents and translations: the same; on request they are deleted right after the order is fulfilled unless the law requires keeping them longer;
  • primary accounting documents: 5 years, as required by accounting law.

When the period ends, the purpose is achieved or you withdraw consent, the data is destroyed unless the law requires keeping it.

7. How the agency protects data

Documents and correspondence are kept on password-protected computers and mailboxes, paper copies at the office. Staff and translators keep data confidential. The agency does not disclose data to third parties except as described in section 5 or required by law.

8. Your rights

You may:

  • find out what data about you the agency holds, where it came from, and why and how it is processed;
  • ask to correct, block or destroy data that is incomplete, outdated, inaccurate or no longer needed;
  • withdraw your consent;
  • complain to Roskomnadzor (the Russian data protection authority) or to a court.

Send your request to krk@atlas-translate.ru or bring it to the office, stating who you are, how the agency can verify it (for example, your order number) and what you ask for. The agency replies within 10 working days, extendable by 5 working days with an explanation.

9. Changes

The agency may update this policy. The current version is always published on this page, with its date at the top.
